Summary of Job Function
The Event Coordinator plays a vital role in managing internal events and philanthropic initiatives, infusing passion and excitement into our culture. By orchestrating engaging experiences and community outreach programs, this role fosters a vibrant atmosphere that enhances team morale and strengthens our commitment to giving back.


Essential Job Duties
Event Planning and Coordination
 Serves as the primary point of contact for all firm events for internal team members, as well as external referral partners and service providers.
 Plan, organize, and execute on the firm's annual recurring events, recurring and nonrecurring social gatherings, internal team meetings, meetings with referral partners and other external service providers, corporate meetings, networking events, etc.
 Coordinate all aspects of event logistics such as venue selection, catering, entertainment, transportation, accommodations, communications, set up and breakdown.
 Develop event timelines and manage event budgets, tracking expenses and ensuring cost-effectiveness.
 Become a liaison for vendors, suppliers, caterers and venues.
 Negotiate contracts with vendors, suppliers, caterers, and venues.
 Coordinate events with proper representative at each office location. Travel to location as needed.
 Coordinate busy season perks for all office locations.
 Coordinate the aesthetics of all office spaces with specific attention to the art and award displays.
 Monitor and support the allocation of Firm sports ticketing.
 Monitor and track LGA giveaways to ensure proper inventory and presentation.
 Track event attendance through Client Relationship Management (CRM) tool to foster continuous client and referral partner interactions.
 Develop internal communications to promote events.
 Encourage cross service line and level representation at firm events, monitor event attendance and appropriately raise restrictions to Event Sponsor.
 Monitor and support game rooms in each office location
 Collaborate with Human Resources, Marketing, and other departments when needed to ensure all aspects of events align with the firm's initiatives and employee-centric culture.
 Continuously monitor industry trends and best practices to bring exciting and innovative ideas to our events.


Philanthropy and Giving Back Initiatives
 Plan and coordinate firm-wide charitable and philanthropic events, including fundraising initiatives, volunteer opportunities and programs, and community engagement activities.
 Collaborate with nonprofit organizations and local communities to align event goals with giving-back initiatives.
 Promote participation in these events, ensuring alignment with the firm's and team members values.
 Track the impact and success of these initiatives and report results to stakeholders.
Education and Experience:
 Preferred but not required, a BS in Business Administration, related degree, or experience in an administrative service role.
 0-2 years of experience of in a corporate or administrative role.

 Demonstrate excellent organizational and attention to detail skills.
 Adept management of multiple concurrent deadlines within a fast-paced environment with the ability to handle unexpected challenges effectively and calmly.
 Strong written and verbal communication skills, ability to communicate both verbally and written with diverse audiences at all levels of the organization.
 Operate with a sense of urgency, ensuring the prompt and efficient completion of tasks.
 Ability to work in collaborative team environment while also exhibiting self-motivation and a proactive initiative.
 Innovative and resourceful approach to event design and execution.
 Willingness to occasionally work non-traditional hours as needed.
 Ability to manage vendor relationships and negotiate contracts effectively.
 Proficiency with Microsoft Office Products, specifically with Excel
