Professional Support Team Leads
Summary of Job Function
The Administrative Assistant will provide high-level administrative support to the Professional Support Team Leaders, ensuring seamless day-to-day operations of the office. This role requires exceptional organizational skills, attention to detail, and the ability to handle a variety of administrative tasks efficiently in a fast-paced environment. Responsibilities and Skills:
- Professionally answer phone calls, emails, and other correspondence, ensuring timely responses to inquiries.
- Manage and schedule appointments, meetings, and events for the PST Leaders including coordinating calendars and logistics.
- Organize and maintain office filing systems, both physical and digital, ensuring easy access and security of information.
- Prepare, proofread, and edit documents, reports, and presentations with accuracy and professionalism.
- Assist with data entry, recordkeeping, and maintaining databases to ensure accurate and up-to-date information.
- Coordinate office supplies, equipment, and inventory management, placing orders as needed and monitoring stock levels.
- Handle travel arrangements for the PST Leaders including booking flights, hotels, and transportation.
- Provide administrative support such as photocopying, scanning, faxing, and document preparation.
- Maintain a clean and organized office environment, ensuring all common areas and supplies are well-maintained.
- Ensure efficient office operations by assisting with other tasks and projects as needed, demonstrating flexibility and a team-oriented approach.
Required Qualifications
- Minimum of 3 years of experience in an administrative or executive assistant role.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Exceptional written and verbal communication skills, with a professional and courteous demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new software.
- High attention to detail and commitment to maintaining accuracy in all work.
- Self-motivated with the ability to work independently and proactively anticipate the needs of the PST Leaders.
- Positive attitude and adaptability to changing priorities or needs.
Additional Qualifications/Skills/Abilities

- Familiarity with digital filing systems and office management tools.
- Ability to handle sensitive and confidential information with discretion.
- Strong interpersonal skills to build and maintain effective working relationships across all levels of the firm.
